 Step Two Discussion document Ask a few concept checking questions about each of the three sections. e.g. a) Quality control: What has a German distributor done? What was the value of the order? b) Responding to customer needs: What did an Australian manufacturer want Fortune Garments to do? What happened? c) Design: What do fashion experts think about Fortune’s latest design? What is the main problem? A consultant’s report Tell students to read through the consultant’s report on page 13 and find out which apply to management and which to factory workers and administrative staff: More pay (management and factory worker) More appreciation (management) Fewer industrial accidents (factory workers) 5-10%profit share (management) Fewer people per office (administrative staff) More independence (management) Quality control guidelines (management) More ventilation (administrative staff) More staff interaction (management) Fewer communication problems (factory workers)

 Step Three Task: 1) Give students a few minutes to read through the documents again and think about their ideas individually, then ask them to discuss how to deal with the problems described. Each group should agree a recommendation course of action. 2) Encourage students to draw on the language and skills they have learned in the unit. Allow plenty of time for discussion. 3) During the meetings, circulate and monitor. Note down any interesting or important errors to work on later. 4) When students have finished, get different groups to report back to the rest of the class on their discussions and recommendations.

 1 to 1 1) Prepare for the task the same way, but with students taking the lead role in the discussion, making recommendations about both the Discussion document and the Consultant’s report, and you helping by responding and asking questions. The level of formality can directly reflect your relationship with students. During the meeting encourage students with questions and prompts. 2) Alternatively, get students to consider and make recommendations about either of the two documents, with you taking the one that’s left. Respond to each other’s suggestions and agree a course of action.

 Step Four Writing: Memo: 1) Memos are usually for internal communication.

  2) They should include the following headings: To/From/Subject/Date.

  3) They should be short and include only relevant information.

  4) Points should be arranged in logical order. In longer memos, it is common to number points.

  5) The tone of a memo may be formal, informal or neutral.

  6) It is usual to end with your initials rather than a signature. Action Plan: 1) For most business meetings, action minutes are more useful than full minutes. 2) Action minutes are intended to make sure that decisions of the meeting are understood and carried out. 3) There is a brief summary of the discussion for each item on the agenda. 4) The initials of the person responsible for carrying out any action required are given in the margin, along with any deadline.
